Activating the wallet feature

In this article, we explain how to enable the Wallet functionality in your system.

Once you have contacted our support service and received confirmation, follow the instructions below.

A wallet balance can be created from the cancellation/refund of a customer’s Time Reservation Product, or it can be added manually to the customer through wallet management. Customers can also purchase wallet balance through the online store or at the cash register.

Customers can use their available wallet balance either in the online store to pay for a Time Reservation Product or at the cash register to pay for products. You are responsible for monitoring which products the wallet balance can be used for at the checkout.

You define which functionalities are enabled and allowed in your own system!

Wallet Accounting Account Settings (Accountmap)

Wallet Accounting Account Settings (Accounting Settings)

The wallet accounting account is created in the chart of accounts:

→ Economy
→ Accountancy
→ Accountmap

Click “Add new account”
→ give it a recognizable name, e.g. “Wallet Balance” → set the account group to 290 Other creditors and assign an account number, for example: 2920


Wallet Accounting Account Settings (Accountancy Settings)

In the accounting settings, assign the accounting account created for wallet balance as the wallet liability account:

→ Economy
→ Accountancy
→ Settings

Go to the section “Balances” and assign the account you created to this field.


Creating a Wallet Product and Selecting the Product Type

The wallet product is created in product management:

→ Sales
→ Products
→ Products
→ Add product

A wallet product must be created if wallet balance is to be sold through the system.

Name the wallet product so that it is easily recognizable to you, e.g. “Wallet Balance”

The product type must be selected as: “Wallet Credit”, so that selling the product creates wallet balance for the customer.

The sales price must be set to €1.00 and the tax category to 0% VAT -> The amount of wallet balance sold is controlled in the online store and at the checkout by quantity. If the customer purchases 10 units of wallet balance, they purchase €10.00 of wallet balance.


Wallet Product Accounting Account Setting

The accounting account for the wallet product is set in the accounting settings, meaning it is retrieved from there.

The wallet product displays text similar to the screenshot in the “Accounting” section.


Whether a Normal-Type Product Returns Wallet Balance Upon Refund

You can choose per product whether a normal-type product returns wallet balance when cancelled/refunded.

In the online store, only Time Reservation Products can be purchased using wallet balance. However, additional normal-type products, such as rental rackets etc., can be sold together with them.

For the product, select:
“Cancelation gives balance – Yes/No”

This setting must be enabled for all normal-type products sold in the online store together with reservations if order cancellation/refund should create wallet balance.



Product Setting to Allow Payment with Wallet Balance

To allow a product to be paid with wallet balance, the setting:
“Is payable with wallet” – Yes
must be enabled for each applicable product.

By default, all new products are set so that they cannot be paid with wallet balance.

NOTE! In the online store, ONLY Time Reservation Products (and additional products connected to them) can be paid with wallet balance, even if the setting has been enabled.
For all other product types, the Is payable with wallet setting only affects the checkout.




The setting can be updated for multiple products simultaneously using the product mass editor feature.

The Mass editor button can be found on the main page of the product listing. Clicking the button opens a product list where the desired products can be selected from the left side. After this, select the button “Select products and continue” on the right side, which opens a menu similar to the picture. Here you can choose whether the setting “Is payable with wallet” should be set to Yes or No. Then click the button “Move to review.”

At this stage, changes can still be reviewed before they are applied. The bulk update is started with the button “Start mass change” on the right side, after which you must still select “Proceed” in the popup window. The mass edit is then completed.



Note!

Changing the payable with wallet settings for the product requires re-logging into the POS for the setting to take effect.

Use the “Log out” button at the POS and then log back in again.


Adding Wallet Balance as a Payment Method to the Online Store

If you do not want wallet balance to be available as a payment method in your online store, you may skip this section.

Please contact our support team so that we can add wallet balance as a payment method to your online store.

At the same time, specify which products can be paid with wallet balance and which cannot.

You can then verify the settings under the payment method:

→ Sales
→ Store layout
→ Payment methods


Adding Wallet Balance as a Payment Method to the cash register

If you do not want wallet balance to be available as a payment method at your cash register, you may skip this section.

Checkout payment methods can be found here:

→ Sales
→ Settings
→ Point of sale

Add a new row using the “Add” button.

Name the payment method clearly, for example:
“Wallet Balance” or “Wallet”

Assign the same accounting account to the payment method as in the accounting settings.

Select the payment type:
Wallet Payment (1086)

Set Active = Yes so that the payment method is visible at the checkout.
