Description of the wallet functionality

A wallet balance can be created from the cancellation/refund of a customer’s Time Reservation Product, or it can be added manually to the customer through wallet management. Customers can also purchase wallet balance through the online store or at the checkout.

Customers can use their available wallet balance either in the online store to pay for a Time Reservation Product or at the checkout to pay for products/services. You are responsible for monitoring which products the wallet balance can be used for at the checkout.

You define which functionalities are enabled and allowed in your own system.

Once you have received confirmation from our support team that you may proceed with activating the wallet feature, continue with the instructions in “Activating the Wallet Feature.”

After completing the steps described in that guide, please familiarize yourself with this General Wallet Guide as well as the instructions “Wallet Balance Creation” and “Using Wallet Balance.”


Wallet List View

You can find the wallet listing by following this path:

→ Sales
→ Orders
→ Wallet

The listing contains the following columns:

  • Person: The name of the person who has a wallet balance
  • Company: The sub-company where the wallet balance was created
  • Wallet Balance: The current wallet balance amount
  • Creation Date: When the wallet balance was first created for the person
  • Last Used: When the wallet balance was last modified
  • Active: Whether the wallet balance is active for the person or not

You can search information in the listing columns by typing into the white field above each column. All columns can also be sorted in ascending or descending order.


Customer Wallet History

You can access a customer’s wallet view by clicking the customer’s name in the wallet listing, or from an order containing wallet transactions via the “Balance History” link.

At the top, the customer’s current wallet balance is displayed by sub-company.

Below, there is a list of the customer’s wallet history, detailing each wallet transaction (addition and usage).



Wallet Visibility on an Order (Paying with Wallet)

If a customer pays for an order using wallet balance, this will appear on the Payments tab of the order as follows:

  • The wallet payment method is shown under remittance
  • Under balances, you can see how the wallet payment affected the customer’s wallet balance amount → There is also a link to the customer’s wallet balance history
  • Under vouchers, you can see the MT voucher created from the product/service sale (sale) and the SK voucher created from the wallet payment (Wallet Usage)

Wallet Visibility on an Order (Purchasing Wallet Balance)

If a customer purchases wallet balance from the online store, this will appear on the remittance tab of the order as follows:

  • Under balances, you can see how the purchase affected the customer’s wallet balance amount → There is also a link to the customer’s wallet view
  • Under vouchers, you can see the SM voucher created from the wallet purchase (Wallet Balance Creation)

Wallet Visibility on an Order (Order Cancellation / Refund)

If a customer’s order is cancelled/refunded, this will appear on the remittance tab of the order as follows:

  • A refund order is created that reverses the original order
  • Under remittance, the wallet balance addition payment method is shown (the payment is returned to the customer as wallet balance)
  • Under balances, you can see that wallet balance has been created for the customer and a link to the wallet history
  • Under vouchers, you can see the SM voucher (Wallet Balance Creation) and the MT voucher for the refunded sale

Wallet Voucher Logic

There are two voucher/document types related to wallet balances:

SM – Wallet Balance Creation Transaction

A Wallet Balance Creation Transaction (SM) is created when an order is cancelled and wallet balances are enabled in the system. The system automatically creates an accounting entry to the receivables account and a corresponding entry to the wallet liability account.

SK – Wallet Balance Usage Transaction

A Wallet Balance Usage Transaction (SK) is created when an order is paid using wallet balance. The system automatically posts the payment from the receivables account and creates a corresponding entry to the wallet liability account.
